How to connect, reconnect, and manage your Google Calendar sync for automatic Google Meet links and two-way appointment syncing.
Connecting and managing your Google Calendar
Google Calendar sync is what powers Google Meet links for your online sessions and keeps your Mind a Porter appointments in sync with your personal calendar. This guide covers connecting, reconnecting, and what to do if your sync stops working.
Where to find calendar sync
Calendar sync is not inside the Availability & Schedule tab. It is managed in two places:
- During onboarding: the Calendar Setup step is where you first connect Google Calendar and choose your video platform (Google Meet or Zoom).
- In your dashboard: go to Professional Profile tab, then under the Clinic Location & Online Services section you will see the Google Calendar connection status with a Connect or Connected indicator.
If you use Google Meet for online sessions, you must have Google Calendar connected. If you use Zoom, Google Calendar is not required.
Connecting Google Calendar for the first time
During onboarding
- On the Calendar Setup step, select Google Meet as your video platform.
- Click Connect Google Calendar.
- You will be redirected to Google to authorise the connection.
- Once authorised, you will be redirected back to Mind a Porter and the connection will be confirmed.
From your dashboard (if you skipped it during onboarding)
- Go to Therapist Dashboard and open the Professional Profile tab.
- Scroll to the Clinic Location & Online Services section.
- Under Video conferencing, make sure Google Meet is selected as your platform.
- Click Connect Google.
- Complete the Google authorisation flow.
You will see a green Connected badge once the sync is active.
What Google Calendar sync does
When connected, Mind a Porter will:
- Create a dedicated sessions calendar in your Google account.
- Add, update, and delete only the session events we create (we never touch your personal events).
- Generate a unique Google Meet link for each online appointment.
- Sync appointments both ways between Mind a Porter and your Google Calendar.
Your calendar syncs automatically. You do not need to manually trigger syncs.
Reconnecting your Google Calendar
If your Google Calendar connection drops (for example, if your Google password changed or the authorisation expired), you may see a Reconnect Your Google Calendar prompt appear in your dashboard. You can also reconnect manually:
- Go to Professional Profile tab.
- Scroll to the Clinic Location & Online Services section.
- If the Google Calendar connection shows as Not Connected, click Connect Google.
- Complete the Google authorisation flow again.
After reconnecting, your appointments will resume syncing automatically.
Switching between Google Meet and Zoom
If you decide to switch from Google Meet to Zoom (or vice versa):
- Go to Professional Profile tab and click Edit Profile.
- Scroll to the Video conferencing section.
- Select the other platform.
- If switching to Zoom, enter your personal Zoom room URL.
- Save your changes.
You do not need to disconnect Google Calendar when switching to Zoom. The connection can stay in place and will simply not be used for video links.
What Mind a Porter can and cannot see
When you connect Google Calendar, Mind a Porter can only:
- Create a dedicated sessions calendar in your Google account.
- Add, update, and delete only the session events we create.
- Generate Google Meet links for your online appointments.
Mind a Porter cannot:
- Read your personal events or unrelated calendars.
- See your contacts, emails, or any other Google data.
- Access anything outside the calendar we create for your sessions.
Troubleshooting
"My Google Meet link is not appearing on my appointments"
This usually means your Google Calendar connection has dropped. Go to Professional Profile tab and check the Google Calendar connection status. If it shows Not Connected, click Connect Google to reconnect.
"I connected but my appointments are not syncing"
Sync runs automatically on a regular schedule. If you have just connected, it may take a few minutes for your first sync to complete. If appointments are still not appearing in your Google Calendar after 15 minutes, try reconnecting.
"I changed my Google password and now sync is not working"
Changing your Google password can revoke the authorisation Mind a Porter holds. Simply reconnect by going to Professional Profile tab and clicking Connect Google again.
